TERMS AND CONDITIONS
Booking conditions private
These terms become binding on both parties once the customer has made a reservation. The terms apply to private bookings made through our sales service and do not apply to Haasi Mirror House vacations. The person making the reservation must be of legal age.
Booking Through Sales Service
After making a reservation with the sales service, the customer will receive a confirmation email with instructions for accessing the accommodation and information about key handover.
Payment
We will send an invoice to the customer in advance via email. For peak seasons, such as weekly bookings in summer, Easter, and Christmas, invoices are sent about two months before the reservation start date. The due date for payment is 28 days before the reservation begins.
For off-peak or normal season bookings, the invoice is sent immediately with the booking confirmation.
If the reservation start date is more than two weeks away, the due date is 14 days before the reservation. If the reservation is made 14-7 days before the start date, the due date is 7 days before the reservation. If the reservation is made 7 days or less before the start date, the due date is the first day of the reservation. For same-day bookings, payment must be made on-site at Lehmonkärki by cash or card.
Any issues with the invoice must be reported within 7 days of the invoice date. The reference number must be used when making payments. Failure to pay does not constitute a cancellation. Lehmonkärki reserves the right to cancel the reservation if payment is not made by the due date.
Cancellations
Cancellations must ALWAYS be made in writing to Lehmonkärki (by email or letter). If the customer cancels the reservation:
- 28 days before the rental period begins, the paid rental amount is refunded minus a cancellation fee of €50.
- Later than 28 days before the rental period begins, 50% of the rental amount will be charged.
- Later than 14 days before the rental period begins, the full rental amount will be charged.
A cancellation is considered effective when Lehmonkärki receives notification of the cancellation. Cancellations must be made immediately. If the customer can prove that the cancellation was made and sent to the correct address at the correct time, it will be accepted even if it is late or does not arrive.
Cancellation Due to Illness
If the reservation is canceled less than 14 days before the rental period due to the illness, accident, or death of the customer (booker) or a close relative, 50% of the rental amount will be charged. Close relatives include the booker’s spouse and their parents or children (not pets). If the sick person is not a close relative, such as an invited guest or a member of the party, the full rental amount will be charged. Cancellations must be made before the start of the rental period. If the cancellation occurs less than 12 hours before the start of the reservation or during the reservation, the full rental amount will be charged.
We recommend travel insurance for possible illness-related compensation.
Reservation Transfers
Reservations can be transferred up to 14 days before the rental period begins by paying a €75 transfer fee within a month to a new date. Transfers are not possible for the following periods: December 20 – January 4; June 1 – August 31; and Easter. Transfers cannot be made to these periods either. Transfers made less than 14 days before the reservation start date will be treated as new reservations.
Lehmonkärki’s Right to Cancel Reservations
In the event of force majeure or any other event beyond Lehmonkärki’s control (e.g., fire or water damage), Lehmonkärki may cancel the reservation or, in agreement with the customer, transfer the reservation to another villa or a new date if possible. If the reservation is canceled, the customer is entitled to a full refund of the rental amount.
Staying at the Property
The villa is available from 16:00 on the arrival day until 12:00 on the departure day. For weekend bookings, the villa is available from Friday afternoon at 16:00 until Sunday evening at 18:00.
The weekly rental includes free access to the vacation home and sauna.
The villa may be used by a maximum number of guests as specified on the website or in the brochure or as agreed in writing when booking. The use of tents, campervans, or caravans on the property is prohibited without the owner’s permission.
Villa Access Code
Lehmonkärki’s villas use electronic locks. The booker will receive instructions for using the access code with the booking confirmation. The access code will be sent on the morning of the arrival day via text message and/or email to the phone number provided by the booker.
Upon departure, the customer must ensure that the property is locked and that ventilation windows are closed. The water level in the outdoor hot tub should be at the maximum level, the water should be heating, and the thermal cover should be in place.
Villa Equipment
The rental includes furniture, kitchenware, and dining utensils. Mattresses, duvets, pillows, bed linen, and towels are included in the rental price. If the customer notices any deficiencies in the villa’s equipment or cleaning upon arrival, they must report it to Lehmonkärki immediately so that the staff can address the issues. Lehmonkärki is not responsible for deficiencies or errors reported after the rental period.
Please note that additional beds are not regular beds but are either matresses placed in the loft or extra beds that can be folded out. Not all extra beds may be suitable for adults and are considered youth beds.
Gas grills are not available during the winter.
Villas have air conditioning units that may produce background noise during operation. Some villas’ refrigerators have temperature sensors that may cause an alarm sound when warm food is placed inside. The alarm can be silenced with a button located behind the protective panel at the top of the door.
Outdoor Hot Tubs
Outdoor hot tubs are not included in the basic rental unless specified in the booking information. Lehmonkärki is responsible for the heating and maintenance of the hot tub. The hot tub is available for an additional fee, which varies depending on the size of the villa. The tub is available for the entire stay. Before guests arrive, the water quality and temperature of the hot tub are tested and documented. The water should be of good quality upon arrival. Guests must read the usage instructions carefully before using the hot tub. The water will remain of good quality if the usage instructions are followed. If the hot tub becomes contaminated with drinks, food, detergent residues, or other impurities, the water may become cloudy quickly. The hot tub should not be used if the water is cloudy or smells unpleasant. In such cases, the hot tub may be put out of use. If the water needs to be changed, an additional charge will apply.
Note that the temperature of the hot tub may be cool (32-37°C) on the arrival day due to water change. We do not recommend using the jets if the water feels cool as it may further lower the temperature. The use of jets should be limited in cold weather. The hot tub can accommodate as many people as there are seating places. The water should not overflow as it may damage the jets.
If the maintenance has left an additional heater in the hot tub to speed up the water heating, it is STRICTLY PROHIBITED to enter the hot tub. The heater must be turned off and removed from the tub. The customer should not put the heater back into the hot tub. Swimwear must be worn on the docks and in the hot tubs.
Cleaning
The customer is responsible for cleaning the villa during and at the end of the rental period unless otherwise agreed (by email). Cleaning includes taking out the trash to sorting points, washing dishes in the dishwasher, and wiping visible stains and spills from floors and surfaces. Cleaning also includes terraces and outdoor areas (collecting trash, bottles/cans). Party decorations must be cleaned up. If the villa is not left clean or cleaning is insufficient at the end of the reservation, Lehmonkärki has the right to charge for additional cleaning on an hourly basis.
Charging electric and hybrid vehicles from villa wall outlets is strictly prohibited as it may damage the villa’s electrical system. The charger is responsible for any damage caused. Lehmonkärki reserves the right to charge for electricity use. Electric cars must be charged at designated charging points. Rates: full electric car charging €20, hybrid car charging €10.
Pets
Pets must be reported when making a reservation and are only allowed in properties where it is permitted. Clean up after your pet in the outdoor area. The customer is responsible for any damage caused by pets, including extra cleaning.
Smoking and Fire
Smoking is prohibited inside all accommodation premises. If smoking occurs in the unit, cleaning costs will be charged. When smoking outside, cigarette butts must be placed in the provided ashtrays. Cigarette butts should never be thrown into nature.
Candles or fireplaces should not be left burning unattended. The use of indoor fireworks in villas is strictly prohibited. The use of glitter and confetti in accommodation and party areas is prohibited. Lehmonkärki has the right to charge for cleaning costs resulting from such use.
During fire warnings, open fires, including grilling, are prohibited.
Recreational Equipment
The use of rowboats is included in the summer rental price. The customer must store the rowboat in the designated rack or tied to a tree or other support. The boat must not be left on the dock or floating in the water. The boat should be tied to the rack with a rope and the plug removed from the boat’s bottom to allow rainwater to drain out. The plug should be kept in the boat’s handle or at the end of the rope. The customer is responsible for any damage caused by improper storage or violation of instructions. The boat must be returned clean. Any damage to the boat or life jackets must be reported immediately to Lehmonkärki.
Liability
Lehmonkärki is not liable for personal injuries or damage to personal property caused by the villa or its equipment, including saunas, hot tubs, docks, boats, and bicycles. The customer is liable for any damage to the villa or its equipment caused by the customer or their guests. The customer is also responsible for any additional cleaning or repair costs incurred due to improper use.
The customer should check the villa for any deficiencies upon arrival and report them immediately. Lehmonkärki is not liable for any damages not reported before departure. We do not offer compensation for the use of other accommodation during the reservation period. The customer should inspect the premises upon arrival to ensure they are in proper condition.
Complaints
Any complaints must be made immediately to Lehmonkärki via email or phone. Complaints made after the rental period ends are not considered valid. Lehmonkärki is not liable for compensation for defects or issues not reported during the rental period.
Governing Law
These terms and conditions are governed by Finnish law. Disputes arising from these terms shall be settled in the District Court of Central Finland.
Booking conditions companies
These terms become binding on both parties once the customer has made a reservation. The person making the reservation must be of legal age.
Reservation and Payment Terms
The customer must notify our sales service about the following details approximately two weeks before the event:
- The event schedule and meal times
- Final number of participants
- Table arrangement and required meeting equipment
- Other special requests
We use the confirmed number of participants 3 days before the event as the basis for billing.
We accept the following bank and credit cards: Visa, Visa Electron, and MasterCard. There is no additional charge for billing. Our payment terms are 14 days net. The late payment interest is 10.5%.
Cancellations
Cancellations must ALWAYS be made in writing to Lehmonkärki (by email or letter). If the customer cancels the reservation:
- The agreement can be terminated completely by notifying the other party in writing at least 30 days before the scheduled event.
- The customer’s right to cancel the agreement:
- No later than 30 days before the service begins
- Later than 30 days but at least 14 days before the service begins, paying 25% of the total price
- Later than 14 days but no later than 48 hours before the service begins, paying 50% of the total price
If the agreement is terminated later or if the customer does not notify Lehmonkärki of the cancellation before the service begins, Lehmonkärki has the right to charge the full price for the service.
The cancellation is considered to have occurred at the moment the cancellation notice is received by Lehmonkärki. If the customer can prove that the cancellation was made and sent to the correct address at the right time, the cancellation will be accepted even if it is delayed or does not arrive at all. The cancellation must be made before the rental period starts. If the customer changes the reservation date, it will be considered a cancellation of the previous reservation and a new booking. If the cancellation occurs less than 48 hours before the reservation start time or during the reservation period, no refund of the payment made by the customer will be given. Additionally, the above terms may change if specified in a separate agreement with the company. If the payment terms differ from those stated above, the terms agreed upon in a separate agreement via email or other written means will apply.
Lehmonkärki’s Right to Cancel the Reservation
In the event of a force majeure or any other circumstance beyond Lehmonkärki’s control (e.g., fire or water damage), Lehmonkärki may cancel the reservation. In such cases, the customer is entitled to a full refund of the amount paid.
Accommodation Rules
The rental cottages are available for customers from 4:00 PM on the arrival day unless otherwise agreed. Accommodations must be vacated after breakfast on the departure day, unless otherwise agreed. For weekend bookings, the rental cottage is available from Friday afternoon at 4:00 PM until Sunday evening at 6:00 PM.
Bed linens and towels are included in the cottage rental price. If the customer notices any deficiencies in the cottage’s equipment or cleanliness upon arrival, they must report it to Lehmonkärki immediately before using the cottage so that the staff can correct any issues. Lehmonkärki is not responsible for deficiencies or errors reported after the rental period has ended. Final cleaning is included in the accommodation price. Outdoor hot tubs are not included in the accommodation prices unless otherwise agreed.
Bringing pets to the rental cottages must be reported at the time of booking, and pets are only allowed in those locations where it is permitted. Please clean up after your pet in the outdoor areas. The customer is responsible for any damage caused by pets, such as extra cleaning. Smoking is prohibited in all indoor areas of Lehmonkärki. If smoking occurs in the apartment, we will charge for cleaning costs.
Candles or fires must not be left unattended. Use of indoor fireworks in the cottages is strictly prohibited. Playing music on the terrace and outdoor areas is prohibited.
During the winter season, gas grills are not in use.
Key Return
Keys must be left on the kitchen table or in the lock on the door on the departure day. The key returner has the right to charge for the costs associated with a lost key (e.g., rekeying locks and new keys).
Damages
The person making the reservation is responsible for compensating Lehmonkärki or its inventory for any damage caused, directly to the owner, such as the removal of an outdoor hot tub from the electrical network, causing the tub to freeze and be damaged. The customer must report any damages caused before the end of the rental period so that Lehmonkärki’s maintenance can minimize, prevent, and repair any damage.
Force Majeure
If the customer suffers damage due to an unforeseeable force majeure event or similar cause (e.g., power outages, natural phenomena, or animals such as mice and insects) that was not caused by Lehmonkärki or whose consequences Lehmonkärki could not reasonably prevent, Lehmonkärki is not liable for the damage. Lehmonkärki is also not responsible for damages and consequences resulting from normal natural phenomena.
Complaints
Any complaints regarding the equipment and condition of meeting and accommodation facilities should be addressed immediately upon their occurrence and during the event directly to the owner of the facility (03-7666 330).
Lehmonkärki is not responsible for incorrect displays in different browsers, brochure printing errors, or changes occurring after printing.
